Position Summary:

The Executive Assistant to the CEO provides high-level administrative support to the Chief Executive Officer and executive team. This role is essential in ensuring the efficient operation of the executive office by managing schedules, coordinating meetings, handling communications, and performing a variety of administrative tasks. The ideal candidate will be highly organized, detail-oriented, and capable of handling sensitive information with discretion.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, preparing agendas, and coordinating travel arrangements.
  • Communication: Serve as the primary point of contact for internal and external communications for the CEO, including screening calls, responding to emails, and managing correspondence.
  • Meeting Coordination: Organize and coordinate executive meetings, board meetings, and other events, including preparing materials, taking minutes, and ensuring follow-up on action items.
  • Document Management: Prepare, edit, and distribute reports, presentations, and other documents as needed. Maintain accurate and organized files and records.
  • Project Management: Assist in the planning and execution of special projects and initiatives as directed by the CEO. Track project progress and ensure deadlines are met.
  • Liaison Role: Act as a liaison between the CEO and other executives, employees, and external stakeholders. Facilitate communication and collaboration across the organization.
  • Confidentiality: Handle confidential and sensitive information with the utmost discretion and professionalism.- Office Management: Oversee the general operations of the executive office, including ordering supplies, maintaining office equipment, and ensuring a professional environment.- Other Duties: Perform additional duties and responsibilities as assigned by the CEO.


  • Education: Bachelor’s degree in Business Administration, Management, or a related field is preferred. Will substitute experience for non-degreed applicant.
  • Experience: Minimum of 5 years of experience in an executive assistant or similar administrative role, preferably in a healthcare setting.


  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). – Ability to manage multiple tasks and prioritize effectively. – High level of professionalism and discretion. Strong interpersonal skills and the ability to work well with all levels of staff and external contacts.

Working Conditions:

  • This is a full-time position based at West Ascension Parish Hospital.
  • Standard office hours apply, with occasional need for flexibility to accommodate executive schedules and urgent tasks.
  • The role requires sitting for extended periods and occasional lifting of up to 20 pounds.
